The Client:
Glaxo SmithKline is the world's second largest pharmaceutical and research-based company with a wide portfolio of pharmaceutical products. It also has a Consumer Healthcare operation comprising leading oral healthcare products, nutritional drinks, and over the counter medicines.
Business Situation:
Glaxo SmithKline Consumer Healthcare (GSKCH) has a large pool of employees to support its growing business operations. To this end, it regularly hires employees for various positions all over India. The employee joining happens often, and it gets difficult to induct all of them to the company's policies, rules, regulations and procedures in detail.
Besides, GSK has the policy to clear an assessment test after the completion of induction session to test employees understanding of their roles and of GSKCH business. Managing paper-assessments was getting messier, resulting in a lot of time and efforts investment from the HR department.
GSKCH realized that a technical solution could help them synchronize their new-employees hiring procedure and approached Zed-Axis to seek a solution.
Solution:
After thorough business analysis and requirement specification of the client's business, Zed-Axis came to agreement that GSKCH needs a customized Intranet Employee On-Boarding application that would shrink new hire time processing, and forge strong first-time relationship with the new employees.
Every employee would have a login ID to log in the application. Once they log-in, they would be able to access various modules of the application shown as below:
- About Employee On-Boarding Module - A general overview of the Employees On-Boarding application. Employees can view, download and read the company presentations.
- About GSKCH Module - This module gives a better understanding of the business of GSKCH, its heritage, spirit and overviews of its functions. Employees can read and download the Presentations and Policies pertaining to GSKCH. This brings the employees closer to their new company and helps in establishing a first yet major bond. It is mandatory to read all the policies, to enable to appear in the assessment test. The report of every Mandatory policy that is read is recorded in the Status of Mandatory Modules.
- Status of Mandatory Reports Module - This module shows the report of each read and yet to be read Mandatory policies.
- Other Employees Policies and Forms - This module contains the forms that a new employee may require during their initial period.
- E-learning Modules - Employees will have to go through all the modules listed under this module and also have to appear for the evaluation. After evaluation, user will take a screen snap shot with print screen command and upload the certificate in the application through this module. Simultaneously, the Admin can add e-learning links on the basis of employees department and grades and check uploaded certificates from user.
- Quiz Corner - Quiz Corner module enables the HR to assess new joinees' understanding about the organization and their business. It can be attempted only if all slides of presentations and all pages of policies have been clearly read and understood by the new joinees.
